Job Summary
The Church Administrative Executive, reports to the Senior Pastor, and provides essential administrative support to ensure the smooth operation of the church office in ARPC@Tengah.
Key Responsibilities
1. Office Administration
• Manage the daily operations of the church office, including correspondence and record-keeping.
• Handle phone calls, emails, and inquiries from church members and visitors.
• Maintain church membership records and ministry databases.
• Coordinate facility bookings for church events and activities with the Facilities Manager
• Maintain the stationary / office supplies inventory and liaise with the procurement person to replenish
when required
• Maintain the Lost and Found station
• Receive and re-route parcels and letters to respective staff
2. Bulletin Preparation (Mandarin Ministry)
• Compile and design the weekly church bulletin, ensuring accuracy and clarity.
• Gather announcements, sermon outlines, prayer requests, and ministry updates.
• Format and proofread content before printing or digital distribution.
• Coordinate with ministry leaders to ensure all relevant information is included.
• Oversee bulletin printing and distribution before worship services.
3. Servant of the Month (SOM) Coordination
• Prepare and update SOMers’ Manual
• Coordinate with DG leaders for their SOM monthly deployment
• Orientate and brief SOMers each week prior to deployment
4. Newcomers’ Liaison
• Update the Newcomers’ response database and work closely with the pastoral team to receive, orientate
and follow-up with newcomers
Qualifications & Skills
• Strong organizational and administrative skills.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace Apps, and graphic design
software (Canva or Adobe Photoshop is a plus).
• Excellent written and verbal communication skills.
• Ability to handle confidential information with integrity.
• Experience in church administration or as a personal assistant is preferred.
Work Schedule
• 5.5 days with Monday off
• Work ½ day on Saturday and full-day on Sundays
